Job Description
We are seeking a friendly and organized receptionist to join our team. The receptionist will be the first point of contact for visitors and clients, providing exceptional customer service and administrative support.

  • Greet and welcome visitors in a professional and friendly manner.

  • Answer and direct phone calls promptly and efficiently.

  • Assist with various administrative tasks as needed, such as COI's and contracts.

  • Collaborate with other team members to ensure smooth office operations.

  • Ensure all visitors and contractors sign in properly using Envoy.

  • Oversee and maintain the building evacuation list, ensuring its accuracy by sending out updates.

  • Manage the sign-out sheet and returns of the plastic frames for events.

  • Manages the company's general email box and directs communications to the appropriate departments.

  • Provide back up for the mail room clerk.

  • Assist Lincoln Properties with their efforts with cleaning staff and vendors.

  • Coordinate mentoring schedule with the Chapter Director of Bankhead Boys Association.

  • Ensuring anyone that enters the building has a badge or if not has a meeting scheduled. Visitors are to remain in the lobby after signing in until the host can meet with them.

  • Report any issues you see or come across to security.

  • Any issues reported to the front desk inform the building reporting email which notifies everyone on the facilities team.

  • When a vendor arrives, check to see if they are on the "Unescorted Vendor" list to ensure they receive the correct badge. If not, coordinate with Lincoln Properties.

Requirements:

  • Excellent verbal and written communication skills.

  • Strong organizational skills and attention to detail.

  • Ability to multitask and prioritize tasks effectively.

  • Proficiency in Microsoft Office Suite and other basic office software.

  • Previous experience in a customer service or administrative role is preferred.

  • High school diploma or equivalent.
